Healthcare Online Reputation Management That Protects Patient Trust

Doctors Branding is a healthcare ORM agency and healthcare reputation management agency working only with clinics and hospitals. We monitor your reviews and ratings, reply to them, and keep your Google Business Profile accurate, without asking your doctors to do anything that breaches medical-ethics rules or Google's own policies.

  • Healthcare clients only
  • No fake or incentivised reviews

Why practices trust us with their reviews

Why Healthcare Practices Choose Doctors Branding for ORM

A Doctors Branding specialist replying to a patient review on a laptop while a clinic manager looks on

A practice's reputation sits in public view: Google reviews, your Business Profile rating, and increasingly what AI tools say when someone asks for a recommendation. Healthcare reviews also touch patient privacy and medical-ethics rules that a general reputation agency may not know. We manage reputation the way a healthcare-only agency should.

  • Healthcare accounts only

Our monitoring, reply templates and reporting are built around clinics, hospitals and diagnostic centres, not restaurants or retail brands.

  • Ethics-aware by default

We never ask your doctors to solicit reviews or share patient testimonials in ways that could breach medical-ethics guidance or Google's own rules.

  • Ratings tied to real activity

Every change in your rating or review volume is traced back to what prompted it, not reported as an unexplained number.

  • Response times you can rely on

Reviews are read and, where you want it, replied to within an agreed window, so a bad day doesn't sit unanswered for a week.

Does this sound like your practice?

Is a Few Bad Reviews Doing More Damage Than They Should?

Practices that come to us for reputation management usually recognise one or more of these:

  • Your Google rating dropped after one or two reviews, and nobody replied to explain what changed.
  • Reviews mention old doctors, a closed branch or wrong timings, and nobody has corrected the listing.
  • A negative review names a specific complaint, and the public reply either says nothing or says too much about the visit.
  • Good patients never think to leave a review, so a handful of complaints outweigh years of quiet, satisfied ones.
  • A previous agency posted reviews that read as scripted, or asked patients for reviews in a way that felt like pressure.
  • Nobody at the practice can say what your rating looked like six months ago, or whether it's improving.

Inside every plan

What Our Healthcare Reputation Management Includes

Our medical reputation management services cover six parts of the work, shaped around how many locations you have, how review-heavy your specialty is and how much of the review-generation side you want us to run.

Monitoring across Google and beyond

Reputation management starts with knowing what's already being said before anyone can respond to any of it.

  • Daily monitoring of Google reviews and rating changes across every location
  • Mentions on health directories such as Practo, Justdial and Lybrate tracked alongside Google
  • Alerts for any review that mentions a safety, billing or consent concern

Review responses written within ethics rules

Every reply is written to be useful to future patients while protecting the patient who left the review.

  • Replies that never confirm a named patient was treated at your practice
  • A calm, factual tone for negative reviews, with no defensive or dismissive language
  • Positive reviews acknowledged briefly rather than left with no response
  • Every reply checked against Google's own review guidelines before it's posted

Honest review generation

Growing your review count matters, but only in ways that survive scrutiny.

  • Simple, unpressured prompts sent after a visit, timed so no patient feels chased
  • No incentives, discounts or gifts offered in exchange for a review, which Google's policy forbids
  • No review requests sent in a doctor's own name in a way that could read as soliciting patients

This is the part of ORM most likely to cross a line. We would rather grow slowly and stay inside the rules.

Google Business Profile accuracy

A wrong opening time or an old doctor's name on your profile undermines trust as much as a bad review does.

  • Hours, services, categories and photos kept current across every location
  • Practice name, address and phone number matched across Google, Practo, Justdial and Lybrate
  • The Q&A section monitored so an unanswered public question doesn't sit there for months

Negative review and crisis handling

A single review rarely sinks a practice; how it's handled in public often decides whether it becomes a bigger story.

  • A written response plan agreed with you before anything goes live
  • Immediate escalation to you for any review describing a safety or clinical concern
  • Guidance on when Google's process for removing a policy-breaching review applies, and when it doesn't

Monthly reporting

You see the same numbers we work from: rating trend, review volume, and how quickly reviews were answered.

  • A plain-language monthly report by location
  • Rating and review-volume trend shown against previous months, not a single snapshot
  • Flags for any review that needs your direct input

Reputation by specialty

Reputation Management for Every Medical Specialty

What patients mention in reviews, and how carefully a reply needs to be written, differs by specialty. We plan monitoring and responses around what matters for each, including:

  • Cardiology

Reviews often focus on wait times and how clearly a diagnosis was explained.

  • Orthopaedics

Recovery-time expectations set in the consultation show up directly in reviews.

  • Gynaecology

Reviews touch privacy and comfort during care, so replies need particular care.

  • Dermatology and aesthetics

Cosmetic outcomes are judged in reviews and photos, where sharing patient images needs written consent.

  • Dentistry

Cost transparency and pain management are the most common review themes.

  • Paediatrics

Parents' reviews often reflect how the whole visit felt for the child, not just the diagnosis.

  • Ophthalmology

Surgical outcomes and post-op follow-up availability drive most reviews.

  • ENT and hearing care

Short, high-volume visits generate frequent reviews, so reply speed matters.

  • Fertility and IVF

Deeply private outcomes make consent for any shared story especially important.

  • Physiotherapy

Ongoing-care reviews reflect a whole course of treatment, not one visit.

  • Diagnostics and pathology

Turnaround time and report clarity are the recurring review themes.

  • Multispecialty hospitals

Reviews often name a department or doctor, so replies need routing to the right team.

How we work

How We Manage Your Healthcare Reputation

From an honest first look at your ratings to steady monthly improvement.

  1. Step 1: Free reputation review

We review your current ratings, reviews and Google Business Profile across every location, and flag anything that needs quick attention.

  2. Step 2: Response plan and boundaries

Together we agree how reviews will be answered, what gets escalated to you directly, and what we will never do to grow your review count.

  3. Step 3: Monitoring set up

Daily monitoring is switched on across Google and the directories that matter for your specialty, so nothing sits unnoticed.

  4. Step 4: Responses begin

Reviews start being answered within the agreed timeframe, in a tone that reflects your practice.

  5. Step 5: Ethical review generation

Where you want it, we start sending simple, unpressured prompts after visits, always within platform and NMC guidance.

  6. Step 6: Monthly reporting and review

Each month you get a plain report on rating trend, review volume and response times, plus what we're focusing on next.

Before you hire an ORM agency

Where Generic ORM Agencies Put Your Practice at Risk

Online reputation management for healthcare touches two sets of rules most generalist agencies never think about: what Google allows on its own platform, and what guidance for registered medical practitioners allows a doctor to do to solicit or share reviews. Healthcare ORM services need four things done well:

  • Compliance

Every review request and reply follows Google's own policies and stays inside guidance for registered practitioners.

  • Accuracy

Nothing published about your practice — a reply, a listing detail — states something we haven't confirmed with you.

  • Privacy

No reply, review request or shared story identifies a patient without their written consent.

  • Measurement

Rating and review trends are reported against a clear baseline, not presented as an isolated good month.

Healthcare Reputation Management Questions Practices Ask Us

What is healthcare online reputation management?

Healthcare online reputation management, also called medical online reputation management or healthcare ORM, is the ongoing work of monitoring your practice's reviews and ratings, replying to them, keeping your Google Business Profile accurate, and, where you want it, encouraging more patients to leave honest reviews. Done well, it protects the trust a practice has already earned rather than manufacturing a reputation that isn't there.

Can you get a negative review removed?

Only if it breaches Google's own review policies, for example if it's spam, fake, or posted by someone with no real experience of your practice. We can report a review that appears to break those rules and guide you through the process, but we cannot and will not have a genuine, if unwelcome, review taken down simply because you disagree with it.

Will asking patients for reviews get my doctors in trouble?

It can, if it's done the wrong way. Guidance for India's registered medical practitioners discourages doctors from soliciting patients or sharing patient testimonials themselves. We send review prompts from the practice, not from a named doctor, with no incentive attached and no pressure, which keeps the request inside those boundaries.

Do you write fake reviews?

No. We never write, post or pay for reviews, and we never offer a discount or gift in exchange for one. Google's guidelines prohibit all of this, and a practice caught doing it risks having its whole listing suspended.

How do you reply to a negative review without breaching patient privacy?

We reply without confirming or denying that the reviewer was ever a patient, and without mentioning any detail of their care, even in defence of the practice. The reply focuses on what any reader should know, such as an invitation to discuss the visit directly.

How quickly will my rating improve?

It depends on your starting point and how many satisfied patients haven't yet left a review. A rating built on real experiences tends to move gradually rather than jump, and we won't promise a specific number or timeline, because doing so would mean either guaranteeing outcomes we don't control or using tactics we won't use.

Do you manage listings on Practo, Justdial and Lybrate as well as Google?

Yes. We keep your details consistent across Google Business Profile and the health directories most patients in India check, and monitor reviews on each.

Can you handle reputation for more than one branch?

Yes. Each location is monitored and reported on separately, so a review problem at one branch doesn't get lost in an average across all of them.

What happens if a review raises a genuine safety or clinical concern?

We escalate it to you immediately rather than replying ourselves, since that needs a clinical response, not a marketing one. We can still help you draft the public reply once you've decided how to handle it.

Do you offer healthcare reputation management outside India?

Yes. As a healthcare ORM company offering medical ORM services beyond India, we adjust to the review platforms and professional-conduct rules that apply in that country.

Will you need access to patient records?

No. Managing your reputation needs access to your Google Business Profile, review platforms and directory listings, not medical records. Any review reply or shared story is written to include nothing about a patient beyond what the patient has already made public themselves.
